Role Summary

The Office Manager leads day-to-day administrative, dispatching, financial, and customer service operations. You will be the primary link between our field technicians, business owners, municipal agencies, and clients. The ideal candidate thrives in a high-volume environment, understands field service workflows, and keeps operations running smoothly from intake to final billing.

Key Responsibilities

1. Operations & Field Dispatching

  • Manage daily dispatching, optimizing route efficiency using ServiceTitan software.

  • Triage incoming calls to prioritize emergency repairs over routine service appointments.

  • Maintain real-time communication with technicians in the field, tracking job progress and adjusting schedules to cover unforeseen delays.

  • Act as the primary point of contact for customer inquiries, estimates, scheduling updates, and issue resolution.

2. Billing & Financial Administration

  • Oversee Accounts Receivable (A/R), following up on outstanding client balances.

  • Ensure field technicians accurately log job notes, materials used, and hours worked prior to issuing final invoices.

  • Prepare weekly/bi-weekly timesheets for payroll processing, including tracking overtime and incentive pay.

3. Inventory & Fleet Logistics

  • Track company vehicle maintenance schedules, registration renewals, fuel cards, and equipment logs.

4. Permitting & Compliance

  • Submit municipal plumbing permit applications for major residential and commercial projects.

  • Coordinate required city/county inspections with property owners and field staff.

  • Maintain active records for business licenses, contractor credentials, insurance certificates, and worker safety documentation.
5. Commercial Bids & AIA Billing

  • Prepare, process, and submit monthly AIA G702 and G703 progress billing applications for commercial building contracts.

  • Track contract sums, approved change orders, line-item progress percentages, and retainage across all active commercial accounts. 

  • Collect and submit all required AIA backup documentation, including monthly lien waivers, third-party invoices, photos, and signed paperwork.

  • Prepare commercial bid plans for review (ordering, trimming, stapling) and assist with marking/counting fixtures.

  • Update the internal Bid List and push commercial jobs to QuickBooks for management pricing and bids.

Qualifications & Skills

Required

  • Experience: Minimum of 5 years in an office management, dispatching, or administrative lead role within trade services (Plumbing, HVAC, Electrical, Construction).

  • Software Proficiency: Hands-on experience with ServiceTitan and QuickBooks.

  • Communication: Exceptional phone etiquette and de-escalation skills to handle stressed clients facing plumbing emergencies.

  • Problem-Solving: Strong situational awareness to adjust schedules on the fly and resolve operational bottlenecks.

  • Permit & Code Familiarity: General understanding of local permitting processes for mechanical/plumbing trades.

Preferred

  • Prior experience managing a team of 5–15 field technicians.

  • Bilingual ([English/Spanish]) is a strong plus.

  • High proficiency with G-Suite, Microsoft Office (Excel, Word), and cloud document management.

Work Environment & Schedule

  • Schedule: Monday through Friday 8:00 AM – 5:00 PM with some flexibility offered

  • Work Location: In-office position at our office located at 3800 Greywood Drive, Raleigh.

  • Physical Demands: Prolonged periods of sitting at a desk and working on a computer. 

Compensation: $49,900.00 - $66,000.00 per year
